Planning Sustainable Events: 8 Measures for More Environmentally Friendly Events

1. Use Energy-Efficient Event Technology

One of the key areas to address when planning more sustainable events is energy consumption. Lighting, sound, and media technology should therefore be scaled according to the actual requirements of the event.

Modern LED lighting technology, in particular, enables energy-efficient illumination of stages, exhibition stands, and event venues. At the same time, intelligent control systems and suitable power distribution solutions can help reduce energy consumption even further.

At Pradler, this approach goes one step further: our LED fixtures are developed and manufactured in-house together with our subsidiary Padura Elektronik. Energy efficiency, ease of maintenance, and the longest possible service life are taken into account from the development stage onwards.

2. Size Event Technology According to Actual Requirements

More technology does not automatically make for a better event.

Professional planning takes into account factors such as the size of the venue, the number of guests, how individual areas will be used, and the actual requirements for lighting, sound, and media technology.

This helps prevent unnecessarily powerful systems from being transported, installed, and operated.

For larger events in particular, it can therefore be beneficial to coordinate with an experienced event technology provider at an early stage. Planning systems according to actual requirements can reduce energy consumption, transport volume, setup effort, and costs at the same time.

3. Prioritize Durable and Repairable Technology

Sustainability does not end with the energy consumption of a single event. The entire life cycle of the event technology used also plays an important role.

For its self-developed LED fixtures, Pradler therefore relies on repairable designs. LEDs, power supplies, and other components can be replaced and repaired. This means that entire units do not have to be replaced simply because individual components are worn or defective.

Regular maintenance and repairs allow technical systems to be used across many events. This reduces the need for new products and helps keep materials and resources in use for longer.

For event organizers, this means that when choosing a service provider, it is worth considering not only the technology being used, but also how long it is kept in service, maintained, and repaired.

4. Use Reusable Stage and Truss Systems

Many components used in professional event technology are designed for repeated use.

Truss systems, stage components, transport cases, and modular systems can be reconfigured again and again for different types of events. Pradler already uses these reusable systems in its stage and event technology services.

As a result, there is no need to produce an entirely new structure for every event.

Modular systems also offer an additional design advantage: they can be adapted to different event sizes, venues, and technical requirements.

5. Optimize Transport Routes and Event Logistics

Event technology has to be transported to the venue and returned afterwards. Efficient logistics are therefore an essential part of sustainable event planning.

By consolidating deliveries, planning routes efficiently, and reducing empty runs, unnecessary transport distances can be avoided. Pradler explicitly includes this type of forward-looking deployment and route planning as part of its sustainability strategy.

Working with regional partners can also play an important role. The shorter the distances between service providers, suppliers, and the event venue, the lower the overall transport requirements can be.

This applies not only to event technology, but also to catering, equipment, personnel, and other event service providers.

6. Consider Regional Suppliers and Short Production Routes

Short transport distances are also relevant when it comes to manufacturing event technology.

For our own LED fixtures, we work with regional suppliers wherever this makes technical and economic sense. One specific example is the powder coating of our aluminum housings, which is carried out around 12 kilometers from our location.

This helps avoid long transport distances for individual production steps.

For sustainable event concepts, it is therefore worth considering regional sourcing not only when choosing the venue or catering provider, but across the entire supply and service chain.

7. Reduce Waste and Reuse Materials

Events can quickly generate packaging, disposable materials, decorations, and other forms of waste.

During the planning stage, it is therefore important to assess which materials can be reused and where disposable products can be avoided. Reusable beverage systems, digital information instead of unnecessary printouts, and modular equipment are just a few simple examples.

The same principle applies to event technology: the more often stage systems, trusses, lighting, and media technology can be reused, the more efficiently existing resources are utilized.

Sustainability therefore means more than recycling. Above all, it involves waste prevention, reuse, repair, and long product life cycles.

8. Plan Sustainable Mobility for Guests and Staff

Technology is not the only factor that creates transport requirements. Visitors, employees, artists, and service providers also need to travel to the venue.

When selecting a venue, it can therefore be useful to consider whether it is easily accessible by public transport. Information on rail and bus connections can be included directly in the invitation or on the event website.

Depending on the event, shared transfers, shuttle services, or carpooling may also be appropriate.

This turns sustainable event planning into a holistic concept that considers event technology, logistics, supply chains, and visitor mobility together.

How Much CO₂ Can Be Saved with Sustainable Lighting Technology?

There is no single fixed figure that applies to every event. The result depends on factors such as the technology used, operating time, transport, manufacturing, and service life.

For our internally developed lighting technology, we therefore consider the entire product life cycle.

Depending on the model, the combination of regional production processes, efficient LEDs, our own energy-saving control technology, repairable components, and a long service life results in a calculated CO₂ reduction of approximately 60 to 85 percent for our products. Across the entire product range assessed, the figure is around 66 percent.

How Do I Plan a Sustainable Event?

Planning a sustainable event starts with a few simple questions: What technology is actually required? Can energy-efficient LED systems be used? Can stage and truss systems be reused? Can transport routes be consolidated? Can regional service providers be involved? How can disposable materials be avoided, and how will guests travel to the event?

Considering these questions as early as the concept development stage creates a much stronger basis for implementing the event in a resource-efficient way.

Sustainability should not be considered in isolation. Good technical planning brings together energy efficiency, safety, quality, cost-effectiveness, and the specific requirements of the event.
