Bavaria Supports Conferences and Meetings Until 2029: Opportunities for Organizers

The Free State of Bavaria is actively supporting the organization of conferences and meetings scheduled through the end of 2029. This funding initiative aims to strengthen Bavaria’s conference and meeting industry while further establishing the region as an attractive destination for business events. The program provides an excellent opportunity for companies, associations, and organizations to successfully host their events with financial assistance.

Who Can Benefit from the Funding?

Eligible applicants include organizers or their representatives planning and implementing conferences and meetings in Bavaria. This includes:

  • Legal entities under private and public law
  • Legally capable partnerships
  • Self-employed and freelance professionals

This funding is ideal for organizers of economic congresses, professional conferences, or academic meetings who aim to realize their projects in Bavaria.


Which Events Are Eligible for Funding?

Eligible for funding are conferences and meetings that:

  • Take place in Bavaria,
  • Have at least 300 on-site participants per event day,
  • Last at least two days, with a minimum of four hours of content programming per day.

Hybrid events are also eligible, although online participants are not included in the participant count. Importantly, the event must either take place for the first time or be returning to Bavaria after a hiatus of at least three years.


Which Expenses Are Eligible?

Expenses directly related to the event’s execution are eligible for funding, including:

  • Rental fees for event venues
  • Costs for technology and event equipment (e.g., lighting, sound, and video technology)
  • Catering for participants
  • Fees and travel expenses for speakers, moderators, and interpreters
  • Public relations and event marketing costs

Expenses for ancillary programs, such as recreational activities that do not involve professional exchange, are not eligible for funding.


What Is the Amount of Funding?

The funding amount depends on the number of on-site participants and the duration of the event. Additional bonuses are available if:

  • At least 30% of participants are from abroad,
  • The event takes place during the congress off-season (August, November to March).

This funding is particularly attractive for organizers planning international congresses, cross-industry conferences, or professional trade fairs in Bavaria.


How to Apply

Applications must be submitted via the Bayern Innovativ GmbH portal. Important: The application must be submitted before the event begins. Projects that have already started or been completed are not eligible for funding.
